If you already maintain your product catalog in HubSpot, this connection saves you from having to type it in all over again. The employee reads that library and quotes with it. It is a read-only connection, and it is worth knowing exactly what that means.

What connecting it solves

The catalog is already loaded, somewhere else

Anyone using HubSpot with a product library has already done the work of loading names, prices and descriptions. Typing all of that again into another tool is doing the same job twice and creating a second version that is going to drift out of sync.

Two price lists end up fighting

The moment there are two places holding the price, one of the two goes stale. The problem is not the work of updating: it is that nobody knows which of the two is right when they do not match.

What the team maintains never reaches the conversation

Your team organizes the catalog into folders, gives it codes and keeps it up to date. All that order stays inside HubSpot and is of no use to whoever is answering a chat.

How the connection works

It reads your product library

It takes the products from your HubSpot library with their name, their price, their description and their code. It uses the folder they are in to understand how you have the catalog organized.

It never shows your cost to the customer

HubSpot can store the purchase cost of each product. That figure is neither requested nor sent, on purpose: your business's margin cannot end up in the mouth of whoever is serving a buyer. Only the sale price travels.

It adapts to how your portal is set up

Not every HubSpot portal has the same fields, because they depend on the plan and on how the catalog was created. If one is missing, the connection keeps working with the ones that are there instead of failing entirely.

What you need to connect it

What the tool itself will ask you for. Worth having at hand before you start.

  • The token of a HubSpot Private App, which you create in Settings → Integrations → Private Apps
  • That token with the read permission for the products catalog enabled
  • Products loaded in the HubSpot library: if it is empty, there is nothing to read
  • A valid token: if you revoke it or it expires, the connection stops bringing data

What this connection does NOT do

The real limit, not a list of humility.

  • It writes nothing in HubSpot: it does not create contacts, it does not create deals, it does not modify products
  • It does not read your HubSpot contacts, your deals or your conversations
  • It does not bring stock, because HubSpot does not store quantities on the product: we prefer the blank over inventing a number
  • It does not send your purchase cost, only the sale price

What data it touches

Your product catalog travels: names, prices, descriptions and codes. Contacts and deals do not travel, and the connection is read-only.

Frequently asked questions

Does the HubSpot connection create contacts in my CRM?

Not today. The connection is read-only: it takes your product catalog and nothing else. The leads the employee captures stay saved in your Vyrkon portal, where you can export them from. Creating the contact inside HubSpot is on the way, but it is not there yet.

Why doesn't it tell me how many units are left?

Because HubSpot does not store stock on the product record: that normally lives in the company's inventory system. We prefer to leave that field blank over inventing a quantity that would lead to promising a customer something wrong.

Could the employee end up mentioning my purchase cost?

No, and it is blocked on purpose. Even if HubSpot stores the cost of each product, that field is neither requested nor sent. Your business's margin cannot end up in the mouth of whoever is serving a buyer.

Can I disconnect HubSpot whenever I want?

Yes, from your portal and with no paperwork. When you disconnect, the employee stops using that information right away and the rest of the conversation keeps working the same. Nothing stays tied down and there's no minimum term.

Do I need to know programming to connect HubSpot?

No. The connection is set up from your portal by pasting the details the tool itself gives you, and if you get stuck we help you get it running. There's no code to write and nobody to hire for this.

Where are the conversations stored?

In your portal, separate from those of any other customer. There you can read each full conversation and see the leads it produced, without depending on the app the message came in through.
