Channels where it answers

WhatsApp

WhatsApp is where your customer writes first and where they expect the fastest reply. Connecting it means the messages that reach your number get answered by your digital employee, with your business information, at any hour.

What connecting it solves

The messages arrive when nobody is there

Most sales conversations start outside office hours: at night, on the weekend, on a holiday. The message sits there, marked unread, and by the time someone opens it on Monday the customer has already sorted out their purchase somewhere else.

Whoever answers is doing something else

In a small business, WhatsApp is handled by whoever can: the person at the counter between two customers, the owner while driving. The replies come out short, late and sometimes with the wrong price, not out of carelessness but because nobody can be in two places.

The voice notes pile up unopened

Plenty of people would rather send a forty-second audio than type. Those audios are the ones that take longest to get to, because you have to put on headphones and listen to them one by one, and they are exactly the ones that carry the clearest intent to buy.

How the connection works

It answers with what you loaded into it

The employee answers using the information about your business that was stored in its base: what you sell, at what price, how it gets delivered, what hours you keep. It does not improvise about what it does not know, and when something is not loaded it says so instead of making it up.

It understands the audios and answers in writing

When a voice note comes in, it transcribes it and replies by text. For the customer it is comfortable, they kept sending their audio as always, and for you it leaves a written thread that can be read at a glance instead of listening to everything again.

It knows when to stop answering

When the conversation goes beyond what it can resolve, or the customer asks to talk to a person, it hands the thread to your team with the context of what was already discussed. Nobody has to ask the customer to repeat from the beginning.

What it does with this

Everything on this list works in production today.

  • Answers the messages that come in to your number, at any hour
  • Understands voice notes and answers in writing
  • Hands the conversation to someone on your team when it's needed

WhatsApp in a conversation

Un ejemplo de cómo atiende. No es una conversación real de ningún cliente.

ClienteHi, do you have the blue one in size 38?

Digital employeeHi. Yes, we have it in blue, size 38. It's $189,000 and there are three units.

ClienteAnd if it doesn't fit me can I exchange it

Digital employeeYes, the exchange is within 15 days with the invoice and the item unworn. Want me to set it aside for you?

ClienteSure. Do you ship to Bucaramanga?

Digital employeeYes, to Bucaramanga it arrives in 2 to 3 business days. Want me to send you the payment link to hold it?

ClienteI need the invoice in the company's name, can you do that?

Digital employeeThat is handled by the billing team. I'm passing the conversation to them right now and they'll write to you from here, without you having to repeat anything.

What you need to connect it

What the tool itself will ask you for. Worth having at hand before you start.

  • A phone number for the business that you can verify by SMS or call
  • That the number is not in use in the regular WhatsApp app: the business connection requires it free
  • A Meta Business account, which is created for free from Meta's website
  • Your business information loaded: what you sell, prices and hours

What this connection does NOT do

The real limit, not a list of humility.

  • It does not write first to a list of contacts: it answers whoever writes to you
  • It does not get into your personal conversations, only the business number you connect
  • It does not send voice notes back: it understands the audio but answers in writing
  • It does not charge inside the WhatsApp chat; for that it shares a payment link

What data it touches

What travels is the content of the conversation and the number of whoever writes. The messages are stored in your portal so you can read them.

Frequently asked questions

Can I use the WhatsApp number my business already has?

Yes, as long as that number is left free in the regular WhatsApp app. Meta's business connection requires the number not to be in use there, so if you use it from your phone today it has to be released before connecting it.

What happens if the customer sends a voice note?

The employee understands the audio and answers in writing. For the customer nothing changes, they keep sending their note as always, and for you it leaves a text thread you can read at a glance instead of listening to the audios one by one.

At what point does it hand the conversation to a person on my team?

When the customer asks for it or when the question goes beyond what it can resolve with the information it has loaded. When it hands the conversation over it carries the context of what was already discussed, so the customer does not have to repeat from the beginning.

Can I disconnect WhatsApp whenever I want?

Yes, from your portal and with no paperwork. When you disconnect, the employee stops using that information right away and the rest of the conversation keeps working the same. Nothing stays tied down and there's no minimum term.

Do I need to know programming to connect WhatsApp?

No. The connection is set up from your portal by pasting the details the tool itself gives you, and if you get stuck we help you get it running. There's no code to write and nobody to hire for this.

Where are the conversations stored?

In your portal, separate from those of any other customer. There you can read each full conversation and see the leads it produced, without depending on the app the message came in through.

Connect WhatsApp from your portal

You hire the employee, go into the portal and connect WhatsApp in the channels or integrations section. If you get stuck, we help you.
